Patients must be invited by a clinic, create an account and join the clinic to use the 'SK Virtual Visit' platform for virtual 'patient consultations'.
Note: if being seen by virtual 'Meet Now' meetings, patients do not need to be invited to join the clinic or create an account. They simply click a hyperlink within an email that is sent to them by the clinic. This hyperlink directs them to the scheduled 'meeting'.
There are three ways a clinic can invite patients to their clinic:
Option 1: Invite patients manually by Email or Text
Option 2: Invite patients verbally with an Invite Code
Option 3: Upload a .CSV File (multiple patient invitations)
Option 1 - Invite Patients Manually by Email or Text
Step 1 - From the left navigation bar, select 'Clinic', then 'Invite Patients'.
Step 2 - Fill in the details requested (fields with * are required):
- First Name (required)
- Last Name (required)
- Email and/or Mobile Number (if known)
Several individual patients can be invited at once by clicking 'Invite Another Patient' and following the steps above.
Step 3 - Once info is entered, click 'Send Invite(s)'
A Pop-up will appear confirming the name of the Healthcare Provider (Clinic) as well as the patients you are wanting to invite. Ensure that this information, specifically the Healthcare Provider is correct before clicking 'Confirm and Invite'.
The 'Patient Invite Results' message will let you know the patients who were invited successfully.
Note: In the example below, the first patient was sent an email as their email address was known. The second patient's email was not known, however an invitation was created with an 'Invite Code'. See Option 2 below for instructions on inviting patients with their 'Invite Code'.
The patient(s) sent an email will be provided with instructions within that email.

To see the list of patients you have invited, select 'Clinic' from the left navigation bar, then scroll down to 'Invited Patients'.
Previous invited patients who were re-invited will not appear, nor will they receive a second invitation.
Patients who have accepted the invitation and taken the steps to join your clinic will be removed from this list. To ensure they are part of the system, select 'Clinic' from the left navigation bar, then scroll down to the bottom of the screen and click on 'View All Patients'. Under 'Search for a Patient', enter either their First Name, Last Name or Health Card Number, then click 'Search'.
Option 2 - Invite Patients Verbally with an Invite Code
Patients can be invited to your clinic when an email address or cell phone number is not known.
Step 1 - From the left navigation bar, select 'Clinic', then 'Invite Patients'.
Step 2 - Scroll down to 'Invited Patients'.
Step 3 - An invitation has been created for the patient with an 'Invite Code'. Provide this 'Invite Code' to the patient verbally.
Note: Patients use the 'SK Virtual Visit' system on a platform that is set up specifically for patients, therefore, their platform works differently than your Clinic platform. The patient has to download the 'SK Virtual Visit' app on their mobile device, or go to https://virtualvisit.saskatchewan.ca/ on their laptop/computer, and create a personal account. After creating their account, the patient will enter their 'Invite Code' and will be connected to your clinic. To ensure they are part of the system, select 'Clinic' from the left navigation bar, then scroll down to the bottom of the screen and click on 'View All Patients'. Under 'Search for a Patient', enter either their First Name, Last Name or Health Card Number, then click 'Search'.
Option 3 - Upload a 'CSV File
This option allows your clinic to invite multiple patients all at one time.
Step 1 - From the left navigation bar, select 'Clinic', then 'Invite Patients'.
Step 2 - Scroll down to 'Invite Multiple Patients'. If you are the office administrator/ staff with more than one healthcare provider, 'Select the Care Provider' from the drop-down.
Step 3 - Click the phrase, 'Click here to download CSV Template'.
Step 4 - Open the .CSV template. IMPORTANT: DO NOT alter Row 1 (the Headings row) as it must remain intact. Doing so will create an error.
Step 5 - Enter patient's first names, last names, emails, and phone numbers into each column, starting on Row 2. REMEMBER: DO NOT add parentheses or dashes in the phone number field and if any information is unknown, leave the cell empty or blank.
Step 6 - The file must be Exported and Saved to .CSV.
FOR PC USERS:
- Save the CSV template to a secure folder, by clicking ‘File’, then ‘Save As’, give it a file name, ensuring the file extension remains as .CSV and ‘Save’ to your laptop/computer.
- Under ‘Invite Multiple Patients’ select ‘Import CSV’. Locate the CSV file you saved and select it.
- A pop-up message will appear stating that the CSV import was successful
FOR MAC USERS:
- Save the CSV template to a secure folder, by clicking ‘Export To’, then select ‘CSV’.
- Note: Do not click ‘Include Table Names’.
- Click ‘Next’
- Give the file a name, and ‘Save’ to your laptop/computer.
- Under ‘Invite Multiple Patients’ select ‘Import CSV’. Locate the CSV file you saved and select it.
- A pop-up message will appear stating that the CSV import was successful
Step 8 - A message will appear letting you know the import was successful.
I am searching for a patient, but I can't find them in my Virtual Clinic.
