Scheduling Conflicts / Overlapping Appointments

If scheduled video meetings/consultations overlap with other appointments that a host provider or an invited provider currently has, a notification will appear to the person doing the scheduling (host provider or clinic admin). 

A maximum of three (3) overlapping video meetings or consultations can be booked into a provider’s SK Virtual Visit schedule. 

Appointments may be viewed/accessed from either the:

THE ‘SCHEDULE > WEEK VIEW’

When there are overlapping video meetings/consultations booked, the timeslot will show the number of appointments that overlap, in a box with a hashed background.

Click into the box to see these details:

  • Icon to specify type of appointment
    • Virtual patient consultation
    • Virtual meeting
    • In-person patient consultation
  • Time and duration
  • The name of the provider who invited them to the appointment 
  • Patient name or Meeting Title
  • Name of host provider and names of invited providers
  • Get the shareable consultation or meeting link information
  • Enter the appointment
  • Invited providers -  Decline Video Meeting/Consultation – will remove the appointment from their schedule only and will not change the scheduled appointment or the schedules of other invited providers.
  • Host provider/clinic admin -  Cancel Video Meeting/Consultation – this will completely cancel the appointment.

THE ‘SCHEDULE > DAY VIEW’

When there are overlapping video meetings/consultations booked, invited providers will see:

  • Each appointment within the overlapping timeslot
  • Icon to specify type of appointment
    • Virtual patient consultation
    • Virtual meeting
    • In-person patient consultation
  • Time and duration
  • Patient name and health card number or Meeting Title
  • Name of host provider and names of invited providers
  • Get the shareable consultation or meeting link information
  • Enter the appointment
  • Invited providers -  Decline Video Meeting/Consultation – will remove the appointment from their schedule only and will not change the scheduled appointment or the schedules of other invited providers.
  • Host provider/clinic admin -  Cancel Video Meeting/Consultation – this will completely cancel the appointment.

Host Provider, Clinic Admin + Invited Provider's View:

 

THE ‘CONSULTATIONS > ACTIVE & PENDING’ SCREEN

Overlapping video meeting/consultation appointments will display one after the other along with:

  • Appointment time
  • Icon to specify type of appointment 
    • Virtual patient consultation
    • Virtual meeting
  • In-person patient consultation
  • The name of the provider who invited them to the appointment 
  • Patient name or meeting title
  • ‘+# Participants’ – click to expand and see the name of the host provider and names of invited participants
  • Reason for the patient consultation
  • Get the shareable consultation or meeting link information
  • Access Quick Messages to send to participant
  • Enter the meeting/consultation
  • Invited providers -  Decline Video Meeting/Consultation – will remove the appointment from their schedule only and will not change the scheduled appointment or the schedules of other invited providers.
  • Host provider/clinic admin -  Cancel Video Meeting/Consultation – this will completely cancel the appointment.
