If you are connected with more than one clinic or location, choose the correct clinic/location from the drop-down under 'Select Clinic'. If you only work out of one clinic, this drop-down will not appear.
There are two areas within the platform where you can find and enter your consultations:
Area A: 'Consultations' tab > 'Active and Pending'
Area B: 'Schedule' tab
Area A: 'Consultations' tab > 'Active and Pending'
Step 1 - From the left navigation bar, click 'Consultations', then 'Active and Pending'.
Step 2 - Under the filter that allows users to view appointments happening today, or those that have happened in the past or both, choose 'Today'.
Step 3 - Find your meeting. Click ' Enter Meeting'.
Step 4 - Review the messages on the 'Start Meeting?' screen. Click 'Start Meeting' when ready to begin.
Note: The 'Don't Start Yet' button will take you back to your 'Active and Pending' screen.
Step 5 - You will be prompted to 'Allow' your camera and microphone for this website. Click 'Allow' for each.
Step 6 - You will be taken directly into the video meeting to wait for participants to arrive. The 'Meeting Join-In Information' screen will appear. Choose one of the three options available to send your participant(s) the information:
- 'Copy Invite Link' allows you to choose any email platform. The copied information includes the web URL link ('https...') only and will have to be 'pasted' into the body of the email before being sent.
- 'Copy Invitation' allows you to choose any email platform. The copied information includes the web URL link, Meeting ID and Passcode and will have to be 'pasted' into the body of the email before being sent.
- 'Send Invitation via Email' uses your computer's default email platform to send all 'Join-in Information'. The web URL link, Meeting ID and Passcode will automatically generate into the body of the email along with this message, "To ensure your call goes smoothly, please test your Audio & Video by clicking on the Test Audio and Video button. You can access this button by clicking the meeting invite link. If the results show that one or both are not working correctly, call 1-844-767-8259, then press option '4' and you will be connected with someone from SK Virtual Visit support that will be able to assist you. This phone number is available from 8:00 AM to 5:00 PM CST from Monday to Friday."
Note:
- You will require participant's correct email information.
- The invitation may be sent by text, however Meeting ID and Passcode will have to be entered manually.
Step 7 - Wait for the invited participants to arrive. As they do, either 'Admit' or 'Decline' them.
Anyone you decline will receive the following message.
Area B: The 'Schedule' Tab
Step 1 - From the left navigation bar, click 'Schedule'
Step 2 - Choose the View you would like to see your schedule - default is Weekly View.
Step 3 - Find and click on the scheduled meeting that you would like to enter. From here choose the 'Enter Meeting' plus sign . This will take you into the meeting.
Other Video Meeting Features:
1. While the meeting is in progress others may be invited by video and/or by phone:
- By video, click 'Get Join-In Information' at the upper-right of the video screen. Send the meeting invite as needed.
- By phone, click 'Dial In', enter their name and phone number, then click 'Dial In Now'.
2. The meeting host can exclude or remove a participant at any time. That participant will then not be able to rejoin.
3. Completing/leaving the meeting:
- 'End Call for All' - the host completely ends the meeting for all participants (invited participants do not have this feature)
- 'Leave Call' - the host and invited participants may leave and return to the meeting, as long as others remain in it
4. Meeting info, such as type (video/phone), participants, date and a short note (if added after the meeting ends-no personal info should be added here) are stored under 'Meet Now' > 'Past Meetings' for future reference.
The 'Search' criteria includes:
- Participant Name
- Date Range
- Care Team Member (available to clinic support staff only - healthcare providers can only view their own meetings
