Invite Participants To a 'Scheduled' Video Meeting

• If recurring consultations were scheduled, each appointment will have its own unique video link, meeting ID & passcode, therefore these steps will have to be taken for each appointment.

In addition to sending the video meeting information link to patients/ participants at time of scheduling a video meeting, you may also:

Invite Participants Before Entering the Video Meeting

As an appointment notification email can get lost in a person's Inbox, it is often a good idea to email their invitation closer to their appointment date/time.

Step 1 - Click 'Schedule' OR 'Consultations' from the left navigation bar.

     

Step 2 - Select the scheduled meeting, then click for meeting ID, passcode & info.  

Step 3 - If you are on the 'Schedule' screen, you will see the following pop-up. Click 'Get Shareable Invitation'.

Step 4 - You will be directed to the 'Meeting Information' screen - Choose one of the three options available to send your participant(s) the meeting information:

1. 'Copy' - The copied information includes the web URL link ('https...') only, which you must 'paste' into the body of any email platform you choose to use.
2. 'View Meeting Invitation' - opens a screen that displays all the Meeting Invitation info, including the web URL link, Meeting ID and Passcode, date and time (if a scheduled meeting), and instructions, which you must 'Copy' & paste into the body of any email platform you choose to use.
3. 'Invite via Email' - opens your computer's default email platform to send the meeting information.  All meeting invitation information will automatically generate into the body of the email.

Note: 

• You will require your participant's correct email information.
• The invitation may be sent by SMS text however, at this time, the Meeting ID and Passcode will have to be sent manually.  See article - 'Invite Patients/Participants to a ‘Meet Now’ Video Meeting via SMS Text Message'

The participants will be notified by email with instructions, as well as appointment details, such as date and time.

Click 'Invite Participants' at the upper-right of the video screen.  Email the meeting information to your participant(s). Participant will have access to video and audio.	Click 'Dial In', enter their name and phone number, then click 'Dial In Now'.  Multiple participants may be dialed into the video meeting, one at a time. Participant will have access to audio only.
